Transportation Refund Policy

Contactless payment using a credit card and terminal.

1. General Refund Policy


All transportation service payments are non-refundable. Because Triangle Access allocates specific vehicles, drivers, and routes based on enrollment, we cannot offer refunds for days missed due to student illness, personal schedule changes, or unscheduled calendar school closures.


2. Skipped Weeks ("Hold the Seat" Fee)


We understand that families may occasionally need to skip a full week of service due to vacations or planned absences. To maintain your child’s spot on the route, the following hold the seat fee applies:


Notice Required: Parents must provide at least one week's notice prior to the skipped week.  

Holding Fee: Parents are required to pay 50% of their standard weekly transportation fee to hold the seat.  

Benefit: This fee ensures that your child’s seat is not reassigned to a student on our waiting list and covers the fixed operational costs of maintaining the route.


3. Extended Absences & Service Termination


Consistency is vital for our routing efficiency.


Unpaid Absences: If a child does not utilize the service, via the hold the seat fee, and payment is not made during their extended absence, Triangle Access reserves the right to immediately terminate the student's transportation service.  

Forfeiture of Seat: After 5 consecutive days of absence without prior communication or payment, the seat will be considered abandoned and offered to the next family on our waiting list.  

Re-enrollment: If service is terminated due to an extended absence, a new registration fee will be required, in addition to any unpaid balances due prior to service termination. This is necessary to resume service, subject to seat availability.  

Unpaid Balance: If services are rendered and not paid, a $20 late fee will be applied for every week the unpaid balance remains. Payment in full is required in order to resume transportation services.


4. Inclement Weather & School Cancellations


Triangle Access generally follows the closing schedule of the local county school system (Wake, Johnston, or Durham).  

If school is cancelled, transportation is cancelled.  

No refunds or credits are issued for weather-related cancellations, as these are considered "Acts of God" outside of our control. Triangle Access Management may issue a refund, which is solely at the management's discretion.


5. Enrollment & Cancellation Policy


Formation of Agreement: By utilizing the Triangle Access website to inquire about, arrange, or remit payment for transportation services, the parent, legal guardian, or court-ordered representative ("Contracting Party") enters into a legally binding service agreement with Triangle Access. Use of our digital platform constitutes formal acceptance of these terms.


Triangle Access operates on a commitment-based scheduling system. To maintain the reliability of our routes and staffing:


Non-Refundable Fees: Once a payment is processed for a service period, it is non-refundable.  

Immediate Discontinuation: If the Contracting Party chooses to terminate or discontinue services effective immediately, Triangle Access is under no obligation to refund any portion of the payments made for the current billing cycle or service period.  

If the Contracting Party requests, states, or implies to permanently cancel their transportation contract, a written notice, electronic notice (email), or verbal confirmation is an acceptable method of canceling said transportation service. Payments made during the notice period are non-refundable.
